This notice explains how the Union uses contact details and requests you choose to submit through this site.
What is recorded?
A successfully submitted form records the fields you send for programme participation, membership, services, the Visitor Register or an enquiry. An emailed-guide request records your email, optional organization, guide and request date; direct guide downloads do not require this form. These forms do not request payment details.
Why do we use it?
Request details are used to answer you, arrange participation and services, send requested material, and manage your account and certificates. A notification is prepared for [email protected]; the request result reports sending status without guaranteeing inbox delivery. Request consent is not marketing consent.
Autofill and saved programmes
If you choose to remember your details, autofill is available on this device for 30 days; otherwise it lasts for the browser session, up to 12 hours. Clear autofill through the Visitor Register. Saved programme lists and preparation checklists remain in your browser. Clearing them does not delete submitted requests.
Certificates and access
Certificates are available inside the participant account after administration review. Participant certificate files are not published as a public directory.
Retention, correction and deletion
Permanent retention applies to the Union website, database and archive across all current and future versions. Website upgrades or version changes do not delete records or start a new database. The Union retains registered contact, request, membership and certificate records indefinitely, updating records when changes are provided. Membership expiry or stopping check-in emails does not automatically delete a record. Stopping messages changes the contact preference only. To request access, correction or deletion, contact [email protected]; explicit deletion requests are referred to the administration for review.

Optional check-in emails
Saving your details or submitting a request does not subscribe you to check-in emails. Choose them through your verified account and stop at any time. A check-in may include a free membership invitation if you are not a member and have not previously applied.
Latest recognized visit
When check-ins are enabled, the server stores the time of the latest visit linked to your account, your preference and its revision. This feature does not store a history of visited pages. Visits without a valid account session may not be recognized. One message is queued after 30 days of recognized absence, with eligibility checked again before sending.
Stopping check-ins
Use account preferences or the stop link in the message without signing in. Confirming the stop displays an apology and confirmation and saves your preference to suppress these messages. Visiting again does not resubscribe you; an explicit choice is required. Request, account activation and membership renewal messages remain separate.
Membership and renewal
Membership is free and annual after administrative approval. Activation and expiry dates and account-linked renewal data are stored. A reminder is queued during the final 30 days, with a record to prevent repeats for the same term. Renewal requires confirming or updating your details; receiving the message does not renew membership.
Welcome invitation on this device
A local browser marker remembers that the membership invitation was shown, declined or dismissed. The code sets no expiry date for this marker; it can be cleared in browser settings. Clearing storage or using another device may show it again. Accepting the invitation does not register membership or consent to email.
Server and email copies
Device remembering periods are separate from server records, email and backups. Notification delivery states and stop preferences are also retained. Contact [email protected] about the period applicable to a particular record or to request correction or deletion. Stopping messages does not automatically delete a request or certificate record.
